A toolbox talk is a short on-site safety briefing held before work starts, covering a specific topic, task or hazard. The attendance register — each worker’s name and signature — is the evidence that the talk happened and who was present. A consistently kept register supports your site safety records if an incident is ever questioned.
What to record for every talk
A toolbox talk that is not recorded may as well not have happened when someone asks for evidence of it. Every talk should capture:
- Topic
- Date
- Presenter
- Key points discussed
- Hazards raised by the crew
- Attendee register — each worker's name and signature
- Follow-up actions, and who owns them
The register is the evidence
The talk itself protects the crew. The register protects the business. When a site incident is investigated — by the head contractor, an insurer or a regulator — one of the first requests is for records showing what briefings were delivered and who attended. A signed register answers that in one page. A verbal "we covered it at start-up" does not.
Keep the registers together per job. The Excel register in the download has a Talks sheet for the schedule of talks and an Attendance sheet for signatures, so the whole history stays in one file.
